In keeping with the move to electronic publication, authors are requested to submit
the abstracts both electronically and on hard copy. Each prospective author should
submit 2 files (described below) and a hard copy of the abstract together with
the required
additional author
information.
Abstracts should be approximately
200 words long and reach the EPAC Executive Secretary by 5 January, 1996.
Adherence to the following guidelines will facilitate publication of conference
abstracts in the Abstracts Brochure which will be available to participants through
WWW before the conference and in printed form at registration.
An ftp server has been set up to receive abstracts. The following steps are
necessary:
- Prepare a postscript file of the abstract which conforms to the guidelines
below.
- Prepare a plain ASCII (text) file containing the additional information (also
defined below).
- The preferred method for submission of abstracts is via ftp and this should be
done in the following way: establish an anonymous ftp connection to epacsrv.cern.ch
(128.141.203.202) and get the file epac96.hlp. This file contains instructions and a
unique identifier which must be used for the filenames when they are transferred.
- Finally re-connect to the ftp server and send the files, following the naming
convention defined in the help file. Please remember that an early submission will
avoid queuing for the ftp server.
- Electronic versions of abstracts will also be accepted on diskette. The
diskettes should be clearly labelled with the author name and title of the paper and
should contain the same 2 files mentioned above.
- IN ALL CASES BOTH THE ELECTRONIC VERSION AND PAPER COPIES SHOULD BE
SUBMITTED.
- One continuous (unbroken sequence), single-spaced paragraph
- One vertical space before footnotes, if any
- Width of printed area: 82.5mm (3 1/4 in.)
- Height: variable up to 105 mm (4 1/8 in.)
- Place the text on the page using the following margins to facilitate
electronic processing of the postscript file.

- Title (bold, with first letter of each main word capitalized)
- Authors to be listed in alphabetical order, all letters capitalized,
principal author underlined. Group multiple authors by affiliation.
- Affiliation (abbreviated)
- Dash (or pair of hyphens)
- Text (body of abstract)
- One blank vertical space (if there are footnotes)
- Footnotes to title or byline (superscript *, , )
- Footnotes to text (superscript numerals)
- Use only TIMES (roman, bold or italic) and Symbol fonts, 10 pt
minimum
- Do not include all fonts when making the postscript file
- Check the size of the file - it should be <50 kbytes if correctly done
- Check that the PostScript file prints OK
- For the file transfer use BINARY mode except on IBM mainframes, when ASCII
should be used.
Template abstract documents for the recommended word processing software can be
retrieved from the ftp server (epacsrv.cern.ch (128.141.203.202)); they can be found
in the directory templates and exist for LaTeX and WORD (5 or 2 and 6, Mac and PC) for
US letter and A4 paper sizes. The file templates.txt contains a description of the
various files.
Templates and examples can also be
retrieved
through Web browsers like NCSA Mosiac and Netscape by loading to disk. See your
local documentation for details of how to do this.
The deadline for receipt of both the electronic files by ftp or diskette and the
hard copy by mail, is 5 January 1996. The hard copy is to be mailed to:
